Import a Contract

  1. To import a Contract, click on the Project Toolbar cog.

  2. Click on Utilities.

  3. Click on Import a Contract.

  1. Firstly, download the Excel template.

  1. Fill in the template with indented lines if needed.

  1. Add Contract Particulars for Item, Unit, Rate and Value Columns.

ID

column creates indentation up to 5 levels as follows:

  • 001 Heading.

  • 001.001 Sub-Heading.

  • 001.001.001 Element or Activity Name.

Item

column is the Name of the ID.

Code

column is only for Trade reimbursable projects only.

Unit

column is free-type but generally Unit, m2, m3, lm, Hour, Day.

Type

column is either LS (Lump Sum) or SoR (Schedule of Rates).

Qty

column is the amount.

Rate

column is the dollar amount of each Qty.

Value

column is the total of Qty multiplied by Rate.

Hours Per Day

(these can remain blank if required).

Days Per Week

(these can remain blank if required).

Committed Start Date

(these can remain blank if required).

Committed End Date

(these can remain blank if required).

Linked Budget Line

add budget line number to import directly to that line item of your budget.

Note: you can import line items directly into contracts by entering the linked budget line item no. into column M.

  1. Once the spreadsheet is ready, go back to the wizard and select you contract type from the drop down.

  2. Select the status the contracts will be imported as e.g. draft, open, closed.

  3. Choose who the contracts will addressed to.

  4. If you have more than one budget select which budget you want these contracts to be linked to.

  5. Then select the budget line item.

  6. Give your contract a title.

  1. Select your file or drag and drop, then click next.

  1. If there are any errors with your spreadsheet they will be listed. Update your excel document accordingly and then try importing again.

  2. Once the import has successfully completed click on Finish.
