Email Capturing into RIB CX

Even though RIB CX is not intended to be used as an email system, a useful feature is the ability to forward emails from your external email inbox into RIB CX. All external emails forwarded into the system will be received as an 'EML: Incoming Email' form type.

Setting up Email Capture

In order for a user to have the ability to forward emails into RIB CX they must:

  • be in the project contact list as a standard user

  • send the email from the same email address that is linked to their RIB CX account.

Where is My Project’s Email Address

Each project has it's own email address.  This can be located under the Project Details page.

Depending on the "instance" your RIB CX project is on the format would be:

AU instance format ProjectID@au.itwocx.com

Azure Multi-Tenanted - AU2 instance format ProjectID@au2.itwocx.com

Azure Single-Tenanted - Your company only instance format ProjectID@company.itwocx.com or ProjectID@company.ribcx.com

US instance format ProjectID@us.ribcx.com

eg. ootbrddemo@au.itwocx.com or ootbrddemo@au2.itwocx.com or ootbrddemo@companyx.ribcx.com

Emailing a User

Emails can be forwarded directly to a user within RIB CX. The email address will be:

AU instance format User-ID.ProjectID@au.itwocx.com

Azure Multi-Tenanted - AU2 instance format User-ID.ProjectID@au2.itwocx.com

Azure Single-Tenanted - Your company only instance format User-ID.PojectID@company.itwocx.com or User-ID.ProjectID@company.ribcx.com

US instance format User-ID.ProjectID@us.ribcx.com

When addressing a user the email will only be found in the form register. They do not get a notification in their Notifications List.

They are found in correspondence > EML: Incoming Email. 

Best practice is to set up a distribution rule so that incoming emails are addressed to an action person who can then can distribute accordingly.

Using a Different Form to Log Emails in RIB CX

Although emails will be received as the 'EML: Incoming Email' form type by default it is also possible to forward emails to be received as another form type. In order to do this, the desired form type code needs to be added to the start of the email subject line. For example, adding 'GEN:' to the subject line will mean that the email will be received as a general correspondence form type in the system.

Log Confirmation Email

If a user has ticked the checkbox for “Send Confirmation Email” both the email and the confirmation email will be forwarded to the project.
