Control Sheets - Contractors & Suppliers

Once you have set up the Contractor and or Suppliers Control Sheet following the steps outlined in https://ribcx.atlassian.net/wiki/spaces/cxKB/pages/23201549 you can edit the control sheet.

The following configuration is the same for both Contractors and Suppliers.

Contractor Control Sheet Settings

  1. Navigate to the Control Sheets:

  1. Click on Settings for the contract control sheet.

Contracts

Select the Contracts you wish to show on the control sheet. For Suppliers you would select PO - Purchase Order (note this form type would need to be configure).

Variations

Select the Contract Variations you wish to show on the control sheet. For Suppliers you would select POA - Purchase Order Amendment (note this form type would need to be configure).

Forecasts

Select the Forecast forms you wish to show on the control sheet.

Linked Forms

Select any linked forms you want to show on the control sheet. When linking a correspondence form you can add working forecast figures against them. If you have worst, best and target enabled you can enter figures again those.

Control Sheet Columns

  1. Tick checkboxes to enable columns to be shown on the Control Sheet.

  1. If you click create user fields, the following user fields will be created (if the column is checked):

  • Previous Forecast

  • Working Forecast

  • Comments

  • Realisation Date

  • Worst

  • Target

  • Best

  1. The user fields will be available to place onto the following forms:

  • CTR

  • EOT

  • FOR

  • NOD

  • SCV

  • SI

Previous Forecast / Working Forecast / Realisation Date / Worst / Target / Best / Comments

In order to be able to add information to these user fields through the control sheet they must be on the form type.

E.g. 1. The contract form does not have Worst / Target / Best user fields placed on the form so figures cannot be added (the user fields are greyed out.

E.g. 2. The site instruction form has Worst / Target / Best user fields placed on the form. We can now add figures in via the control sheet.

This functionality works the same for the other user fields.

Linked Budget (Complex Commitments i.e. One Form is Linked to More Than One Budget Line Item)

When an unapproved variation, forecast, contingency or trade reserve is linked to more than 1 budget line, the forecast, best, target and worst-case amounts can be entered as different numbers. However, on refresh or approve, both budget line item columns get updated with the new value, and the previous Forecast column for both line items remains the same.

The logic behind this is:

  • the figures are stored in a user field and a form has one user field for each (e.g. worst, best, target)

  • one user field cannot have different values depending on linked budget line.

  • user field data is only stored once per form

Show Cost Code Columns in Summary

When checked the cost code will appear in the control sheet summary (see below).

Mode

Code Code UserField

If you have a user field on your CTR form with the code: COSTCODE then you will be able to view the cost codes in the control sheet. (refer below)

Linked Budget Line

If you have Linked (complex) Budget set up on your project, enabling the Linked Budget Line shows the Control Sheet based on the Linked Budget Line (refer below).

Current Action

Choosing this option will show information dependent on who the action user is. In the example below, the control sheet for Powell Building Solutions (PBS) who is the Head Contractor shows the Civil Works Consultancy contract as PBS is in the ACTION. When the Contract is ACTIONED to the Civil Consultant it will no longer be in PBS control sheet but in the Civil Consultant control sheet.

Contact Field

If you have a contact user field on your CTR form the control sheet will display based on it, regardless of who is ACTIONED on the form.

Claim / Invoice History Columns - Contractor and Suppliers

Tick the check boxes in the Enabled column for them to appear on your control sheet under the Claim History.

You have the ability to names of the columns to make them specific to your project.
