Folder Permissions

To configure Folder permissions you must be a Register Admin or a Folder Admin.

By default, RIB CX allocates all Project Administrators as Register Admins.

Folder Permission Definitions

Folder Admin

Retire / restore documents from this folder.
Edit this folder and sub-folders (assign permissions, workflows, auto-distribution).
Move and delete this folder and sub-folders.
Can Create FoldersCreate new sub-folders within this folder.
Can Upload


Upload new documents to this folder.
Supersede existing documents within this folder.
Can edit document details.
Can manually lock / unlock a document (except if it is going through a workflow).
Can See


Can see the documents in this folder which have not been distributed to you. 
You can only access documents details where you have uploaded or been distributed at least one revision.
You can only access and download revisions where you have been distributed that specific revision.
NOTE: This does not follow the hierarchy, and cannot be granted at the folder level, it is determined based on distribution of revisions.

1. Security follows a hierarchy, (top to bottom) which means for example, if you have been granted the Folder Admin permission, you can Create Folders, Upload, Supersede and See Documents.
2. If you add / remove permission to a folder which contains sub-folders, the same permission will be granted to all sub-folders.
3. If there are no document level permissions, the documents inherit the permissions of the folder it resides in.

Add Permission to a Folder

1. Select the folder from the grid view of publication space.

2. The folder toolbar will be shown at the bottom of the screen.

3. Click on spanner and screwdriver icon to access the folder settings.

4. Click on Add Permission.

5. Type a name from the contact picker to select them.

6. Change to the permission level desired.

7. Click Submit.

Add Restricted Users to Permissions

Restricted users can now be added to permissions within the Publication Space. Click here for information regarding user types.

Hide a Folder from Users

The standard security model of the Publication Space has always been that a user is able to view a folder if:

a) they have folder permissions.

b) if they do not have folder permissions but have had documents within that folder distributed to them.

However, Administrators have access to untick the "Allow users to see this folder when they are distributed documents within it".

By default this will be ticked. 

The setting can be found under the Permissions tab of a folder.

However, with this unticked, any user who does not have a folder level security permission cannot see it.  

Those users will not be able to see this folder even though documents within that folder have been distributed to them.  

The folder will be hidden to them when

  • Browsing
  • Searching

The user will only be able to see those documents via the DTX (distribution transmittal) they received. This will apply to existing distributions as well. 

If you added Can See/Upload/Folder Admin rights they will see the folder.
