Locked Box Tendering

RIB CX Tenders now supports Closed Box Tendering. Here is how it works :

Project Level Locked Box Tender Setting 

The locked box tendering setting has now been made into a project-level setting.

The 3 options available are

• Disabled - turned off for all packages

• Enabled - enabled for all packages but can be turned off when creating packages

• Forced - enabled and cannot be turned off when creating new packages

How to Create a Locked Box Tender

1. When creating a package tick the option "Locked Box Tender" in the Package Details tab.

2. Follow the rest of the package creation Wizard to issue your package.

Once you've issued the package the Tender Submissions by the Bidders will be locked (cannot be viewed) until the Package Close Date/Time has passed.

A banner will be displayed informing the user when the Bids will be accessible.

Access Bids after Close Date has Passed

Once the Package Close Time has passed you the package will automatically unlock. As a Tenderer you will be able to access the Tender Submissions by the Bidders.

Example : When the initial closed date (e.g. 10th August 2024) is reached, the package will automatically unlock

1. Simply, open the package and go to the Progress Tab.

2. Click on the Bid.

Updated Closed Date

To update close date, go to Package Summary → Package info → Change Close Date

If the closed date is subsequently changed (e.g. from 6th Nov to 7th Nov), the system will automatically lock the package again.

While locked, tenders will not be accessible, users will be informed that access is restricted along with unlock time/date 

History Log Update

The package history will record the new locking status with the updated closed date.

For Project and Tender Admins

You can configure the Locked Box Tender as a default option from the Tender Module Configuration page.

If this option is ticked, all packages created from that point will have the Locked Box option turned on by default. You can always override it by unticking it on a package by package basis.

Can I view all bids submitted by the Bidder after the Close Date has passed?

Yes, all Bids submitted by a Bidder during the Locked Box period will be accessible to the Package Owner once the Close Date has passed and the Bids are unlocked.

Can I Untick the Locked Box Option Once a Package is Issued?

You can untick a locked box option once a package is issued if your administrator activates the option below. 

Allow Defined Users to Manually Unlock a Locked Box Tender

Under Tender Settings in the Project details tab, you now have to option to set which users can manually unlock a locked box tender

The options are;

• Project Admins - users who are set up as project admins

• Tender Admins - users who are set up as tender module admins

• and Custom - a set of configured users can unlock the package

Once a package has been created, based on the setting configured the relevant users will see an unlock button on the package as shown below.

When you click the unlock button a confirmation will be shown whether you wish to unlock the package manually.

Click Yes here if you wish to unlock the package.

Then you will be shown that the package is accessible. And it will also be recorded in history
