Notes Field

What is the Notes Field?

RIB CX provides you with the ability to add a custom note - per revision of a document - during upload.

This can be useful if there is some specific information that needs to be captured for document management purposes.

Populate the Notes Field

1. When a document is uploaded the notes field will be displayed on the upload page.

2. You can click into the Notes field and fill it in as required.

3. Finish you upload.

View the Notes Field in the Publication Space

1. You can add the notes field to the Publication Space by clicking on the Columns button and selecting Notes.

2. You will then be able to see the note for the latest revision of the document.

View all the Notes for a Document

1. To view all notes for all the revisions of a document go to More search options.

2. Tick the show all revisions button.

3. And search for your document number.

4. This will display all the revisions for the document along with the notes for each rev in the notes column.

View Revision Notes on the Document Details Page

1. Click on the document name to open the document.

2. Click the details tab.

3. To view the notes for a specific revision of the document, change the revision using the revision drop down.

Document History and Notes

The documents history will also record any changes to the Notes field.

Transmittals and Notes

Any note entered for a document is also visible on the Transmittal they are uploaded on.

This includes the exported pdf of the Transmittal.

Search for Documents by the Note Field

Using Suggested Search

1. Enter the text note and you will be given two options for the Notes field.

2. Select the appropriate option.

3. "Rev Notes Contains" will search the notes field for the text you enter as the criteria.

4. "Rev Notes Does Not Contain" will search for documents where the note field DOES NOT contain the criteria you provide.

Using More Search Options

1. Click More search options.

2. Click Add more criteria.

3. Select the Rev Notes.

4. Select either contains or Does not contain as your criteria and perform you search the same as above.
