Create a Tender Package

To create a Tender package navigate to the Tenders Module and click Create Package.
Select Trade
The create package wizard will guide you through the process. The first step is to select the trade for the package and click Next Step. The trades list comes from your Tender database. If you have more than one database you can swap to it from here.
Select Bidders
Once you have selected a trade, all bidders that are associated with that trade will be display. Here you can select the bidders you want to issue the package to.
To select a bidder, tick the checkbox next to the bidder.
Once bidders have been selected click on the Next Step button on the bottom right-hand corner.
Attach Documents
Now that bidders have been selected, you can select the Tender Documents you want to include in this package.
The Register picks up documents from the Publication Space.Â
In order for the person creating the package to attach documents listed in the Register they must have access to the documents. Â
You can select the documents by:
- Selecting directly from the Register
- Conducting a searchÂ
- Importing from a transmittal
- Inserting a link
- Uploading from your desktop
Select Documents
Navigate the Register folders to find the documents you want to include. To add to the package simply tick the checkbox next to the desired documents. To add a whole folder tick the checkbox next to the folder.
Search for Documents
Click on the Search for Documents tab. Search by Title, Document Reference or Keyword. For very large Registers, you can speed up the search by selecting particular folders to search within.
Tick the checkbox next to the documents you want to add to the package.
Import from a Transmittal
When adding documents to a package you can now search for a TX, WTX, or DTX by its reference number to add the documents on those forms to the package.
Search for the reference number, select it, and click import.
Once the import has finished you will be taken back to the Select Documents tab.
Insert a Link
Click on Insert a Link.
The Insert a Link pop up page will appear. Type the text you want to display and then enter the link address.
Click Done when complete.Â
Upload from the Desktop
For documents that are not on the register (in Publication Space) you have option to upload files from your desktop.Â
Click on the Upload button.
The Upload Files pop up will appear. Select files or drag and drop you files. Â
When finished Click Done.
The uploaded files will appear at the top of the Register folders.
Once document have been selected, Click on Next Step to move on to adding Package details.
Package Details
The next step in the process to enter details about this package.
This includes:
- Name - set the package name.
- Main Contact - choose the main contact.
- Open Date - the date and time the tender opens.
- Info User(s) - which user(s) would you like to be included for information only.
- Package Admin(s) - which user(s) are administrators of this package.
- Location - enter the location of the project.
- Close Date - the date and time the tender will close.
- Category - select the category relevant to this tender package.
Description - enter text which describes the package, as well as any instructions to the bidder on how to access the documents and submit their bid through RIB cx Tenders. You will notice that the Project Description has already been appended in the Package description. This text will be displayed on the Tender Invitation email and the bidder page. We recommend adding information on how the bidder is to submit a valid bid through RIB CX Tenders.Â
- Locked Box Tender - package admins (owner) will not have access to the submitted bids until after the close date and time.
- Confidentiality Agreement - bidders are required to sign a confidentiality agreement before documents are issued.Â
- Enforce Close Date - bidders will not have access to submit a bid after the close date and time.Â
- Bidder Attachments (When Submitting a Bid) - Allows bidders to submit attachments as part of their bid.Â
When finished Click on the Next Step button.

Package Summary
The package summary gives you an overview of all your selections on the package. If you find you missed anything just go back to the previous steps and make further selections.
When you are happy with the contents of the package you can either Issue the package immediately or Save the package to be issued later.
Issue a Saved Package
To issue a saved package click on arrow beside Actions and select issue.
