Confidentiality Agreements and Issuing Packages

Issue Your First Package with a Confidentiality Agreement

Once the confidentiality agreement has been configured you can issue your package.  (Click here for how to configure the Confidentiality Agreement)

To do so click on Create package on the Tender Dashboard and follow the standard package creation wizard. Add bidders, add documents. (Click here for how to Create a Tender Package)

On the Package Summary Tab you will notice a warning that there are bidders who have not signed the confidentiality agreement. 

To issue the package click on Issue.

When you click Issue you will be shown a confirmation message as follows.

Ignore and Issue Package

Ignore and Issue Package means that you can ignore the warning and continue to Issue the Package.

Choosing this option means that the package will be issued to the bidders who have already signed and returned the Confidentiality Agreement.

Bidders who have not signed and returned the Confidentiality Agreement will receive an email with the Confidentiality Agreement.  They will need to sign and return it before gaining access to the Tender Package.

Save and Issue Agreement

Save and Issue Package means the package is saved as a draft and the agreement is issued.   This is useful if you want to wait for all bidders to return the agreement and then issue the package to all bidders in one go or you may want to issue to each bidder as their agreement is returned.

Choosing this option means that the package is saved as a Draft and the Confidentiality Agreement is issued to bidders who have not yet signed and returned it.   

Bidders who have signed and returned the Confidentiality Agreement will not be issued the Agreement or the package.

Once all the bidders have returned the signed Confidentiality Agreement then you can issue the package to all bidders.

Approved 

If a bidder has returned the agreement, you can view the attachment by clicking on the attachment link.

If you are happy that everything has been filled in correctly you can Approve this bidder as having signed the Agreement.


To do this:

1. Select Approved from the Approval Status drop down list for that bidder.

2. Click Save

Approving the bidder does NOT Issue the Package to them. If you would like to Approve and Issue the package to the bidder in the same step select Approve and Issue package.


Approved and Issue Package

Using this option would Approve and also Issue the Package to the bidder at the same time.

Bulk Approve Bidders Agreements

To approve or approve and issue the package to all bidders in one action you can:

1. Select all or some of the bidders by ticking either the select all checkbox or individual bidders.

2. Select the Bidder Actions button.

3. Select the action required from the drop down. 

4. Click Save.

Removing Bidders from the Package

You can optionally remove bidders from the list by selecting them and clicking the Remove button.

Tracking the Progress your Confidentiality Agreement

On the Dashboard

Once the Confidentiality agreement has been issued you can track its progress through the Tender Dashboard.

We've added a new column to the Main dashboard which shows a count of how many of the bidders on the package have signed and returned the agreement. This will provide a quick overview to you of who has signed the agreement.

On the Package

For a more detailed breakdown of the progress of the Tender Dashboard, click on the Summary button for the package to view the Progress tab.

The progress tab now has an additional column for the agreement.

This icon is a clickable link which takes you to a detailed look at the Confidentiality Agreement.

The Confidentiality Agreement page shows details about:

  • Which bidders have been issued the agreement.
  • What the status is for each bidder, whether they've signed and returned the agreement or not.
  • The history of all confidentiality agreement - which includes our standard audit trail of all activity on the issued agreement.


Issued - TCA is sent to them.

Returned - They signed the copy and returned.

Signed - Estimator has approved.
