When set up by your administrator, you can make Internal or Public Comments on a Correspondence Form.Ā
The default in RIB CX is public.
What are Public Comments
A public comment is a comment made on a form on RIB CX that can be seen by anyone who has access to that form.
What are Internal Comments
An Internal comment is a comment made on a form in RIB CX that can ONLY be seen by the author of the comment and other users in the Author company.
Users who are not in the Authors company WILL NOT see these comments.
How to Set a Comment as Internal or Public?
When adding a comment set the switch control to either Public or Internal by clicking on it.
Then add your comment.
You will notice the comment has a special icon in the row after it is added.
How to Identify an Internal Comment and a Public Comment?
If you have access to the Internal comment you will see an I (as shown below).
Public comments will have a P (as shown below).
I Already Added a Comment, Can I Change it to be Internal (or Public)?
Yes, you can.
Simply, click on the I or P switch icon to change it.
Are Attachments from Internal Comments only Viewable by Internal Users ?Ā
We have implemented new features to control the visibility of attachments added via internal comments, ensuring they are only accessible to the appropriate users.
Attachment Visibility:
Attachments added through internal comments are visible only to the author of the internal comment and users from the author's company.
Visibility from Other Companies:
Internal Attachments are
hidden from the thumbnail view for users from other companies.
hidden from the list view for users from other companies.
hidden from the attachment list view in registers for users from other companies.
hidden from thumbnail columns in registers for users from other companies.
Handover Reports: Internal attachments will not be downloaded in handover reports for users who do not have access.
Thumbnail View: A locked icon is displayed on attachments in the thumbnail view to indicate they are internal for the internal comment author/company users.
List View: In the list view, a locked icon is shown in the row for attachments that are internal to the internal comment author/company.
Why Can't I See this Option on my Forms When I am Adding a Comment?
It is a config option that can be turned on per-form type on the project. So if you cannot see the option, it means that this option has not been configured. You will need to contact your Project AdministratorĀ to turn this option on.
What About Comments Made Before this Option Was Turned On?
Comments made before this option is turned on will remain as Public comments which are accessible to anyone who can view the form.
What if I Add an Internal Comment and then Turn Off the Option?
Any comment set to Internal (while the option was turned on) will remain as an Internal comment, even if the config option is turned off.
If the user enables internal comments, then makes an internal comment on the form and then disable it, the internal comment will remain as internal comments - you will be able to confirm this with the 'Internal' tag next to it.
What if I Make a Public Comment, then Set it to Internal, and Turn off the Option?
Any comment set to Internal (while the option was turned on) will remain as an Internal comment, even if the config option is turned off.
