22.12 (December) Release

The third iTWO cx release for 2022 introduced some exciting updates for Dashboards, Workflows, Forms and much more, there will be something for every user to enjoy. 

Some of the headline features include conditional formatting for count widgets, and the ability to display cost information on dashboards. Furthermore, we've added a new workflow progress bar, a way to visualise a workflow with status action buttons, and more.

The key new features are explored below in the Coming Soon Webinar, but there are plenty of other refinements on offer with Version 22.12. 

This latest version will begin automatically rolling out across iTWO cx projects on 6 December.

Dashboards

Conditional Formatting for Count Widgets

Customise your dashboards to match your KPI’s and visually identify and surface issues. Allowing you to drill through into the detail.

We've added a new configuration to count widgets that allow you to define conditional formatting for the widget.

You can set up the widget to change its colour based on the number of results for the widget.

To do so turn on the conditional formatting option. 

Then define your criteria and the colour of the widget when that criteria has been met.

Display Cost Information on Dashboards

Report on your project cost information using dashboards to unlock better insights into how your project is performing.

Start by creating a count widget. Then under the Conditions area pick from the options available as to which calculation you'd like to perform.

Then pick from the available options for each Contract Admin form type. The table below details all the available options and the calculations that you can perform.

Graphs - Show Status Categories in graphs.

Leveraging the Status Categories feature we rolled out in the April release you can now display your graph widgets using status categories

Improved User Interface for Widgets

In this release, we are rolling out some improvements to the interface for all widgets on dashboards. With the new changes we hope working with widgets will be a much simpler and intuitive process

All projects option for widgets

For count widgets, there is now an "All projects" tickbox. When this is ticked, it will automatically include all projects you have access to when reporting widget results. Any new projects added to your account will also be automatically included.

Added additional standard fields to the list layout 

We've added a number of new options that can be used when configuring the list view on a Dashboard for a Form Type. 

Drilling through to key information via your dashboards can now provide even better context with additional meta-data fields that can be viewed at a glance

Workflows

Workflow Progress Bar

iTWO cx has added the ability to display a Workflow Progress bar on forms to help you easily track and identify where a form is in relation to your business process and see what steps have been completed and are coming up.

You can add the progress bar from the Form Type configuration page by setting it to Always Display under Workflow section

The Workflow Progress can be displayed using two methods

  • Statuses
  • Status Categories

If you opt to use Statuses, the order will be based on the Status configuration

If Status Categories are used, you can customise the order by reordering the categories through drag and drop.

You can also exclude certain categories that you do not wish to include in the Progress Bar.

Draft, Cancelled Statuses are excluded from the Progress Bar

If a Form is in an excluded Status Category, the Progress Bar will revert to its default mode

If a Status or Status Category is skipped in the forms progress, it will be marked as completed.

Status / Action Button - Visual Config (Beta)

Visualise the workflow of a form type that has been built using Status Action Buttons, Document Triggers and Default Addressing. 

In the Beta version, we are releasing a way for you to review and visualise all the steps in a form’s workflow. In the future, you will be able to add and edit statuses, action buttons and other configurable areas directly from the workflow.

This will allow you to effortlessly manage formal communication flows on a project from start to finish.



Forms

Modern form response screen in a Modal

The user interface for responses to modern forms will now show a pop-up window with the ability to open it in a new window/tab. This will maintain consistency between classic and modern form UI to enable a better user experience as users transition their projects to modern forms.

Click on the Open in a new window/tab icon to open the form in a new tab.

Configure which statuses you can split from

We have introduced the ability to customise which statuses a particular custom split button will be available. By enabling this configuration you will be able to provide better context-specific split buttons depending on where the form may be in its process.

You can select the statuses in which the Custom Split button appears by editing a row for the relevant custom split button.


Lock responses to forms at a specific status(es)

In this release, we have added the ability to control at which Statuses a form can be responded to. By enabling this configuration you will have the power to control when a form can be updated.

However, should you require certain admin users to bypass these rules you are able to configure a set of exempted users who will still be able to respond to the form even when it is in a locked status.

Import from Excel to a List

We've improved and simplified the way you import data from excel into a List on modern forms.

Now you can simply click on the Import from Excel button in your list control, download the template and browse and attach that file to import data into excel.

You can also append or overwrite data on the list using the Import function.

Display a URL as a hyperlink on standard text fields

From this release, if you paste a URL into a standard text field, it will convert it to a clickable hyperlink after the form has been submitted. 

Filter a list by its header columns

We've enabled column filtering for lists on Modern forms now so that you can filter the list on a form to quickly drill down into the information that matters to you.

Field types that can be filtered

  • Text 
  • Select
  • Radio
  • Checkbox
  • Date

All other field types are excluded from Column filters.

Create a Polygon/Pin from a form

To create a polygon or a Pin from a map, click the new icon next to the GPS field

On the map view screen that is opened add a pin or polygon and then click done.



Searching

Full-width display

Form registers and search results will now be loaded utilising the full width available. This will allow you to see more data at a glass.

To view a form simply click on it to see it on the right-hand side of the screen.


Display distributed revision and current revision in searching

From this release, you can run a search for Documents in the Publication Space using the newly added "Previously Distributed To" criteria.

When you search for documents using this criterion the system will automatically add a column called "Distributed Rev" to display the last revision they were distributed.

Allowing you to easily compare which revisions need to be distributed.

Show or Hide Superseded revisions in Global Search

When performing a Distribution Transmittal Search with Display as Files turned on, you now have the option to hide superseded revisions.

By unticking the option below you will be able to search for the latest revisions and exclude superseded revisions.

Add filters to revision-related columns

We've added column filters for Document Revision related columns. The supported Columns are listed below.

  • Document No#
  • Revision
  • Revision Date
  • Revision Status
  • Revision Type
  • Revision Discipline



Publication Space

Configure Default Columns for Transmittals/Distribution Transmittals/ Workflow Transmittals

With this release you will be able to customise your register view for these 3 Transmittal types.

From the Publication Space settings page you can configure the default columns required.

From here you can add/remove edit the fields you wish to show in the default list of columns for each Transmittal type

You can also customise the register view using the Column picker which we've made available for Transmittal types from this release.

Multiple value selection for Cascading and Select Fields

iTWO cx has now added the ability to select multiple values for Cascading and Select Fields within the Publication Space.

This feature is supported in the following areas

  • Upload Page
  • Editing a Document
  • Bulk Edit
  • Transmittal / Distribution Transmittals

Auditability records for viewing the Bid Evaluation Report

Viewing the Bid Evaluation Report will now be logged in the package history.

The history will record a view log one per package version i.e. Addenda.

The following actions will be logged

  • Viewing the Bid Evaluation Report (Each tab that is viewed will have a separate entry per package version)
  • Adding comments in any of the tabs within the Bid Evaluation Report

Weighted Assessment - Current Price vs Lowest Price

Added a new option to the Weighted Assessment functionality to compare bidders' Price Submission values.

  • It will be automatically set to type Weighted - this cannot be changed
  • You can assign a weight against this row

  • Added a toggle to show or hide weights from bidders

    • When turned off all section weights price submission weight will be hidden from bidders during bid submission

    • When turned on section weights price submission weight will be hidden from bidders during bid submissions

Bid Submissions

  • Bidders will not be able to see this row when submititng bids in the Weighted Assessment tab

  • Based on the weight display toggle they will either see or not see the weights for each section

Bid Evaluation report

  • The Price Submissions row will be displayed at the bottom

  • The bidder column will show the price submission total the bidder has submit

  • The Score out of 10 will be automatically calculated as follows ((Lowest price submission total/ Bidders price submission total) x 10 )

  • The Weighted Score will be automatically calculated as follows (Lowest price submission total/ Bidders price submission total) x 10 x Weight assigned in config)

Exclusions/ Notes

  • User cannot customise the calculation (it is as mentioned above)

  • User cannot add Price Submission to weighted assessment config anywhere other than the bottom row

  • Price Submissions row cannot be changed to a Not Weighted row

Cancel a Draft External Bid

You can easily cancel draft external bids now using the quick "Cancel Draft" button available in the toolbar when viewing the bid

Easy access to the Confidentiality Agreement

Added the ability to access the Confidentiality Agreement management page directly from the Tender Dashboard. 

Simply click on the Confidentiality Agreement column number. This will load the agreement management screen.

Improved UI for how Checkboxes and Radio buttons are displayed

When a checkbox or radio button is added to a form layout - they will now be displayed in their native format on lists.

Create a Default layout

Added the ability to create a Default Layout for a form.

Clicking this button will take all user fields configured against the form and add them to the form in Alphabetical order of the User field description.

Insert a Hyperlink to a form

Added the ability to add a hyperlink element to a form.

Simply drag and drop in the URL element to your form. Customise the text and the URL you wish to link the text to and click save



Admin Tools

QR Code - Print Parent Level

Added ability to print a just the parent level of a Cascading Field as a QR code

Grant access to Dashboard config to non-project admin users

Added a new security group for the Dashboard that would allow admins to specify non-Project Administrators to access the Dashboard configuration page.

Use the keyword AUTHOR in security

We added support for using AUTHOR as a keyword in security in these areas.

  • See/Edit/Administer a user field

  • Status Allocation

  • Status Action button visibility

  • May edit title/May edit due date

  • Closers and Status Changers

  • Status Approvers (For Approval)

  • May reopen a closed document

  • Split

  • Handover report

You may also use -[Author] as a security setting for exclusions. i.e. everyone but the Author can do the edit.

For security checking, iTWO cx will process rules in an order of most specific to least specific, and minus with a higher priority than plus rules.

Meaning you could configure a scenario such as +RIB-*, -RIB-JD, which would mean everyone in RIB except John Doe.

This means regardless of the order a user enters in the UI, iTWO cx will process security in the following order:
