20.03 Release

The iTWOcx Product team are excited to announce the 2nd major release of the year.

You can watch the video below for an overview of the key features in this release.


Below is a list of all the changes in this release

Tenders

Ability to Reject or request to Resubmit a Tender Confidentiality Agreement

With this release, you will have the ability to Reject or ask your bidders to Resubmit a Confidentiality agreement in a situation where it has not been completed appropriately.

Access the Confidentiality Agreement management screen from your Package Progress tab

From here you will now get 2 additional options to Reject or Resubmit in the bidder tools dropdown

Once a Confidentiality Agreement has been submitted, these options will become enabled.

You can also send out an optional message to the bidders, that can be customized.

Added Info field for Tender Packages

Tenders now include an Info field so that you can add additional package contacts. 

You can set the defaults on the Tender Settings page

The default info users will then be shown when creating a package


Info users will receive notifications/emails for all related form types:

  • Tender Packages
  • Tender Clarifications
  • Tender Submissions
  • And any configured forms for the bid submission process, Including those generated on awarding the package.

Import Confidentiality Agreement on behalf of a bidder

Much like the ability to import an external bid on behalf of a bidder, you can now also import confidentiality agreement material you may have received from a bidder outside of the iTWOcx system.

To do so go to the confidentiality agreement management screen click Upload

Select the files to upload 

Once uploaded you will be able to approve and issue the package to the bidder




Publication Space

Download Compared revisions

When two revisions of a document are compared, you will now have the ability to download that image 

From the compare screen, in the Publication Space, click on the Download button in the toolbar

Checkboxes added to Upload Transmittals (TX) and Distribution Transmittals (DTX)

We've added tickboxes to allow you to easily select the documents, on Distribution Transmittals and Upload Transmittals 

Bulk Set Verdict when skipping a step in a Workflow

Previously when requiring to skip a step in a workflow - the user was required to set a verdict for reviewer in the step one by one. We've added the capability to apply this in bulk now.

On the Skip a step page - pick the verdict you wish to set. And select Apply to All.

Core

Adding new users to multiple projects

This release adds the ability to add new users to multiple projects. The feature comes with various options. 

Here is a quick overview

When adding new users you will now get the option to add the user

  • Just to the current project 
  • To all projects where the current project was the template project
  • To all projects, the current logged in user is an Admin (The company you are adding the user to must exist in another project as well)

Should you pick option 2 or 3 you can select the projects you wish to add the user to

Once the projects have been selected you can decide whether to add this user to security groups as well. Security groups are defined as Admin groups within a project as well as the User Groups configured on a project

To add the user to security groups - pick Yes

Then tick the option to add the user to the same groups in the list of projects you picked

Then select the groups you wish to add the user to.

The list is groups shown will be based on the project that you are adding the user from. If you tick the option to add the user to the same groups in list of projects you have selected - the system will look to find the same groups in the other projects - and should it find them - it will add them to the groups.


Retiring users from multiple projects

This release adds the ability to Retire users from multiple projects. The feature comes with various options. 

Here is a quick overview

When retiring users you will now get the option to retire them from

  • Just to the current project 
  • From all projects where the current project was the template project
  • From all projects, the current logged in user is an Admin (The company you are adding the user to must exist in another project as well)

Should you pick option 2 or 3 you can select the projects you wish to add the user to 


You can optionally change ownership of the forms that belong to the user being retired. Select yes to do and pick the user you wish to change the form ownership over to

This will change the ownership where the current user is the Author, Action or Info

You can also remove the user from the groups they belong to. Security groups are defined as Admin groups within a project as well as the User Groups configured on a project

Click Yes to remove them from groups


Display full file name when hovering over in an Attachment User Field


Support for Groups/Roles for Status changers security

You can now configure a group or a role in the status changers configuration in the To/CC list


Changed the wording on the document history to say "The document has been viewed"

This applies to the forms that are configured where the form is set to open when first viewed. 


Option to send notifications when Importing Correspondence

The correspondence import utility now includes an option to notify the action user of the form via standard iTWOcx notifications

When it is ticked the user set up as the action user(s) will be notified


Sort notifications by Date

You can now click on the date field to sort the notifications by Date. And the system will remember this setting 


Allow Form type admins access to the List Layout Feature

Previously only project administrators were able to configure the List Layout. This has been extened to include Form type Admins


Added the ability to generate a link to the form. You can generate the link by clicking on the new Link button on the form toolbar

You can also add the Form link to saved searches by adding the Form link option to the search layout. It can be found in under the Reference category

This column will display the form link when the saved search is run. It can be clicked to open the form




Quality

Generate Handover report based on List rows

Previously you could generate a handover report from a saved search for all the forms in a saved search. This has now been enhanced to support generating the handover report based on rows in the list (table) control in a form

The handover report will be generated based on the data in the document list user field for a particular row. 

To help understand this better here is a sample of a table within a form

Note that this list has a Doc List user field. And for each row in the table - it has a some forms linked to that row in the Doc List user field.

You can now create a saved search for this form type. Making sure to add the columns to include the Doc List user field under the table section

You also need to add the document tickbox column to the search layout

Run the saved search

You will see tickboxes for each row in the list (table) from the form. You can tick all or the required rows you wish to generate a handover report for

Then click on the Cog icon, and Handover report. A summary of that will be downloaded and options on what you wish to download is then shown

Make your selections as required.

This will generate a handover report that downloads the PDF's and / attachments for the documents in the Doc List userfield



Contracts Administration

Hide Certified column and Reasons section until Claim has been approved

For security purposes, the Certified Column on a Claim will be hidden from the Author of the Claim until the Claim has been Approved (Closed)

Adjust retention automatically

Adjusting the retention section of the contract will now update and re-calculate the retention amount for any claim currently in draft or open status. 



Mobile App

Uploading Videos

Now you can also attach videos. To add a video click on the attachment icon and pick the Video option. 

Note - keep videos as short as possible in length to avoid creating large files that need to be uploaded.

Adding photos to your camera roll

Photos taken while using iTWOcx will now be added to your camera roll. It will also be stored under a separate album called iTWOcx allowing you to find photos you've taken while using the app at a later time.

Uploading files from other apps (iCloud, One Drive, Dropbox)

iTWOcx has been integrated with popular cloud storage providers to allow you to upload files you have got stored on those services.

To add a file from those services - Click on the camera icon

Select Choose File

And then follow the prompts to link your storage provider.
