How to Change Email and Preview Email Notification Settings
Where are These Settings Found?
In RIB CX you are able to change your Notification Settings at any time.
Click on the Project Tools cog button at the top right of the RIB CX blue menu bar.
This will bring up the project tools options. Click on ‘Contact Details’ which is at the top of the Project Tools menu.
3. In your Contact Details page scroll down to the Options section until you see ‘NOTIFICATIONS’.
Type of Notification
Choose how you want to receive your notifications.
To Do List
By default the To Do column is ticked.
Your To Do List is the landing page when you log into RIB CX.
Via Email
When selecting Email, you will receive an email with the options to:
Click on the "Open in RIB CX" button which will:
If the user is not logged in ask you to provide your login details. Once you have logged in, the form will be shown on the right-hand side.
If the user is logged in the form will be displayed on the right-hand frame directly.
Click on the "Respond" button and the form will open in a new tab in your web browser. You can add you comment and submit without logging into RIB CX.
Preview Email
When selecting Preview Email, you will receive an email with a full preview of the form.

Click on the "Respond" button and the form will open in a new tab in your web browser. You can add you comment and submit without logging into RIB CX.
Respond to the email (like you would a normal email) this will add your response to the RIB CX form without having to log in.
General Structure of Both Email and Preview Email
All email notifications will follow a consistent format with the following sections:
Logo: Displays the RIB CX or notification originators company logo at the top of the email.
Header Section: Provides key information at a glance.
Details Section: Displays additional details about the notification or form changes.
Action Button Area: Shows available actions based on the current status of the form.
Form Preview Area (Preview Emails only): Displays a form preview for applicable emails.
Footer Section: Includes helpful links and resources.
Header Section (Applies to All Emails)
The header section includes:
Sender details: The user who sent the email.
Reason for the email: e.g., Created, For Info, Late, form update
Form details: Type, Reference, and Title.
Senders company and project details
Details Section (Applies to All Emails)
Changes made to the form:
User field changes (non-list fields only).
Status updates.
Addressing details.
Comments made (if applicable).
Change Limitation: If there are more than 10 changes, only the first 10 will be shown. A message will direct users to view all changes in RIB CX.
Action Button Area (Applies to All Emails)
Displays any available action buttons based on the form's status.
Allows users to take immediate action directly from the email.
Form Preview Area (Preview Emails Only)
Displays a visual preview of the form for better context.
Footer Section (Applies to All Emails)
Links to help users manage notification settings.
Access to help resources for using RIB CX.
Additional relevant information.
Alignment and Responsiveness
Centre-Aligned Layout: All emails are centre-aligned, following the style of tender emails.
Responsive Design: Fully optimised for desktop and mobile viewing.
This redesigned email structure improves readability and usability while a consistent and professional experience for RIB CX users.
If you untick the Email (or Preview Email) notification for "Added to ACTION on Response or Response while AUTHOR/ACTION" you will only be notified in your To Do List.
Therefore, if you are addressed as an action person on a form that is saved as a Draft, when the Draft is issued it is treated as "Added to ACTION on Response or Response while AUTHOR/ACTION, therefore you will only get a notification in your To Do List.
When unticking this you will get the below warning.
Apply These Settings to All Modules
This option allows users to tailor their preferences to individual modules while maintaining the option to apply settings globally across all modules and projects.
By default, this checkbox is ticked, and the user will only see one set of notification settings applied across all modules (as seen in above screenshot).
If the user unticks this option, the interface will expand to show a row for each module within the project, allowing the user to configure notifications per module.
Custom Notification Options
Users can turn off all notifications for a specific module by ticking the "Turn Off All Notifications" checkbox for that module.
Alternatively, users can customise which notifications they receive per module by expanding the row and modifying the settings. Click anywhere on the header to expand each row and view detailed settings for that module.
Bulk Actions
A bulk tickbox has been added per column, enabling users to make multiple selections efficiently.
Apply These Settings to All Projects
Users can click on "Apply These Settings to All Projects" and save their changes.
The system will match the top-level folder code across all projects that the user is part of and update the settings on those projects accordingly.
If no match is found, the settings for that project will remain unchanged.
Note that your registered accounts on multiple projects will need to be associated with the same email address.
Send Confirmation Email
This setting relates to Preview Email only. When this checkbox is ticked and you reply to the preview email from your external email account you will receive a confirmation email stating that your response was successful.
