Set a Mapped User Field Option

A mapped User Field is one where the options of a user field are linked to a Contact in your project so that the document can be addressed to that contact when the configured option is selected on the Form

For example: A Defect Form may have a User Field called "Trade". 

For a project there will be many trades - Electrical, Plumbing etc.

If we link the Electrical option with a user eg AA-EU and the Plumbing option with AA-PU we can automatically change the action of the Form to:

  • AA-EU when the trade user field is changed to Electrical, and
  • AA-PU when the trade selection is Plumbing.

Configuration

Access User Field Configuration

Configuration > Document Types >  [[Document Type]]> *Scroll to bottom section of page, User Field options in grey section, press 'Edit USR' > Click on relevant User Field

1. Go to the General tab of your User Field.

2. Select Is Mapped User Field.

3. Click update.

Set the Mapped Options

1. Click on the Options tab.

2. There is a contact field next to each User Field Option with a contact picker.

3. Select a user or multiple users with their user ID against one or more of these options.

4. After making the necessary changes.

4. Click Update option.


Notes
If you assign a CONTACT

(or multiple contacts) 

A notification/s will be received by the contact/s and the document will be accessible both in their Notifications List and Hotlist.
The document will also be visible to their wider company under Company Action Items, as well as on any Dashboards, Registers and Scheduled Searches. 

The mapping user field with a contact assigned will work both on Web and Mobile. 

If you assign a USER GROUP

(or multiple user groups)

Notifications will be received by all contacts within the user group, and the document will be accessible both in their Notifications List and Hotlist. 
The document will also be visible to their wider company under Company Action Items, as well as on any Dashboards, Registers and Scheduled Searches. 

The mapping user field with a user group assigned will work both on Web and Mobile. 

As the Mapped User Field is linked to the Action field, you cannot assign a Company to the Mapped User Field. 

iTWO cx does not support Companies being added to the Action field. 

Export/Import Mapping User Field Configuration

Now you can export the configuration of a mapping user field - which will include the mapped users and import them to another user field of the same type.
