What is Automatic Field Matching?

Automatic Field Matching allows iTWOcx to match your Document number with preconfigured User Field values during an upload. This will then populate those fields on upload without needing any user interaction to make your Document uploads very efficient and quick.

 

Settings up the Pattern 101

The Pattern is usually configured based on how your Document Number is formed.

If there is a strict numbering format applied on your project an Automatic numbering pattern will be useful in filling out Meta data for your documents quickly.


An example Document Number 

DEMO-MC-DWG-ELE-0001 [a] Electrical Drawing 0001

In this instance

  • DEMO - is the Project Name
  • MC- Is the Code of the Company that is uploading
  • DWG - This defines the type of document this is - DWG is the Code for the option of Drawing Type
  • ELE - This defines the discipline this document belongs to - ELE is the code for the option of Electrical Discipline.

We can now configure an Auto Field Matching pattern that can be used against Document Numbers that are in this format.

  • Project-Company-Type-Discipline

Type and Discipline are first Set up as User Fields. (See Publication Space Admin section)

  • DWG - is the Code for the option of Drawing in the Type User Field
  • ELE - is the code for the option of Electrical in the Discipline User Field

How to Configure Automatic Field Matching

  1. Go to Configure
  2. Modules
  3. Publication Space or 
  4. Publication Space and then Settings

 

 

  1. Select the Numbering tab
  2. Under Auto Field Matching
  3. Click Add Row
  4. Select the Company a you would like to add the Field Matching Pattern for

This Company will then be shown in the table with the default pattern selected

 

To configure A New Field Matching Pattern

  1. Click on the drop down list under Select a Pattern
  2. Give the Pattern a name

To add a section to the pattern click +

To remove click-

In this way select the pattern as follows

 

  • Ignore - Project is not set up as a userfield, so there is no field to populate on the uploage page. So we select ignore
  • Select separator as -
  • Ignore - Company is not set up as a user field, so there is no field to populate on the upload page. So we select ignore
  • Select seperator as -
  • Type - As shown above DRA is the type of the document. So we select Type to populate the Type userfield with the value Drawing.
  • Select seperator as -
  • Discipline - As shown above ELE is the discipline this document belongs to. So we select Discipline to populate the Discipline user field with the value Electrical

 

So the pattern will now look like this

Ignore -  Ignore - Type - Discipline

 

 

How to use Automatic Field Matching

Once an Automatic Field Matching pattern has been created for your company you will need to ensure your Document Numbering will adhere to the Pattern.

Usually, however, the Automatic Field Matching pattern is configured based on your Document Numbering.

 


The use of Field Matching is best explained using an Example


Example 1

Company A

Automatic Field Matching Pattern is - Project-Company-Type-Discipline

The Document you upload  is DEMO-MC-DRA-ELE-0001 [a] Electrical Drawing 0001

In this instance

  • DEMO - is the Project Name
  • MC- Is the Code of the Company that is uploading
  • DRA - is the Code for the option of Drawing in the Type User Field
  • ELE - is the code for the option of Electrical in the Discipline User Field

 

If you Drag and drop this file for Uploading you will see that the Fields for Type and Discipline are automatically populated as

  • Type = Drawing
  • Discipline = Electrical

 

Example 2

Let's say you wanted to upload a Document which was type Report and Discipline Architectural

 

Then the document number will be

DEMO-MC-REP-ARC-0001 [A] Architectural Report 0001

 

In this instance

  • DEMO - is the Project Name
  • MC- Is the Code of the Company that is uploading
  • REP - is the Code for the option of Report in the Type User Field
  • ARC - is the code for the option of Architectural in the Discipline User Field

 

If you Drag and drop this file for Uploading you will see that the Fields for Type and Discipline are automatically populated as

  • Type = Report
  • Discipline = Architect
