How to use Automatic Field Matching

Once an Automatic Field Matching pattern has been created for your company you will need to ensure your Document Numbering will adhere to the Pattern.

Usually, however, the Automatic Field Matching pattern is configured based on your Document Numbering.

 

The use of Field Matching is best explained using an Example

Example 1

Company A

Automatic Field Matching Pattern is - Project-Company-Type-Discipline

The Document you upload  is DEMO-MC-DRA-ELE-0001 [a] Electrical Drawing 0001

In this instance

  • DEMO - is the Project Name
  • MC- Is the Code of the Company that is uploading
  • DRA - is the Code for the option of Drawing in the Type User Field
  • ELE - is the code for the option of Electrical in the Discipline User Field

 

If you Drag and drop this file for Uploading you will see that the Fields for Type and Discipline are automatically populated as

  • Type = Drawing
  • Discipline = Electrical

 

Example 2

Let's say you wanted to upload a Document which was type Report and Discipline Architectural

 

Then the document number will be

DEMO-MC-REP-ARC-0001 [A] Architectural Report 0001

 

In this instance

  • DEMO - is the Project Name
  • MC- Is the Code of the Company that is uploading
  • REP - is the Code for the option of Report in the Type User Field
  • ARC - is the code for the option of Architectural in the Discipline User Field

 

If you Drag and drop this file for Uploading you will see that the Fields for Type and Discipline are automatically populated as

  • Type = Report
  • Discipline = Architect
