When you have been added as a collaborator on an RIB CX form you will receive various notification when there is activity on this form. Each notification also acts as a link to the form in RIB CX. By clicking on the notification you will open the form related to that notification.
The types of events that trigger notifications are as follows:
- A form that you have created has been viewed.
- You have been added to a form as an action or info collaborator.
- Someone responds to a form where you are an action or info collaborator.
- A form you created is closed.
- A form you created is overdue.
- A form where you are the action collaborator is overdue.
There are two categories of notifications:
- Internal Notifications - ToDo List in RIB CX.
- External Notifications - Email Notifications.
ToDo List Notifications
indicates a document was sent to you for Action.
indicates a document was sent to you for information only.
indicates the item is overdue or has been on your list for more than three days.
Once you have viewed the item, you can tick it off by clicking on the icon. The icon changes into a .
This will remove the item from your Notification List when the screen is refreshed and keeps your ToDo List relevant. The items is filed in the relevant module folder located in the Menu.
You do not need to keep ToDo List items on your list, because, if further action is taken on the document, you will be notified.
Date - Notifications are listed by Sent date.
Name - tells you who dealt with the document and caused this notification.
Reference - is the unique number assigned to the document.
Title - is the subject of the document.
Hovering over a Notification will show tool icons.
Click allows you to pin that notification in your Hotlist.
Click allows you to split from this form to a new form.
Click to make a response.
Click to turn on/off the notification.
Click to print.
Clear Notifications in Bulk
You can bulk tick off your notifications using the bulk clear notifications tool.
Click on the Tick Off All option from the menu on the notification list.
Show / Hide Columns
Click on the Notification List Header Row to pop-up a menu allowing you to show/hide some of the columns.
Resetting Notification List view
Reset the notification list view back to it's default view by going to the Notification list options and clicking on the Reset button
View Unread Notifications
There is a new option to quickly filter unread notifications in the notification list
View a Notification
You can view the item by clicking on it. The document will open in the details pane to the right.
Hotlist
The Hotlist is a collection of items that have a due date where you are either the author or the action person. Click here to view detailed description of Hotlist
Email Notifications
At the same time as you are being sent notifications in RIB CX, you will also receive email notifications depending on the settings that have been selected. There are two types of email notifications:
Link Email
This provides a link to the relevant form in RIB CX. If you are not logged into RIB CX you will be prompted to login and then the form will be displayed. If you are logged into RIB CX, it will automatically open the relevant form on a new tab in your web browser.
Preview Email
Choosing to receive preview emails will mean that instead of being sent a link you will receive an email which shows you the entire form. This removes the need to log into RIB CX to respond or download an attachment.
Click on the Respond button to reply.
You can download any attached files and click on links.
