The LOT form is split from an APPROVED ITP.The LOT form is created by splitting from an APPROVED ITP.  Lots are used to manage quality on a section of work. 

To create a LOT, follow the steps below.

 

1. Access the Quality Dashboard and click on the Approved Inspection Test Plans widget widget.

2. When the Approved ITP List Displays, click on the relevant ITP reference No.

3. The ITP will display in the right hand side of the screen.   Review the information on the ITP and click Reply to change the status or, if required, add any additional tasks.

4. In the reply window, go to the Status selector and choose APPROVED.

5. If required you can change the action person or add others for information.

 

6. Once all changes are complete, click Submit.

1.Click the plus icon (+) on Project Toolbar to open the 'Create New Document' window.

2. Select start typing ITP in the search bar or select it from the correspondence select menu.

3. The new ITP window will display.  The ITP should be addressed via distribution rule to the person responsible for approving it.  If not, address to the appropriate person.

4. Confirm/change the status of the ITP.

5. Fill in or select form information relating to:

  • Structure/Component;
  • Construction Process;
  • Specification; and
  • Revision No.

6. To add ITP tasks you have the choice to add each row individually by clicking 'Add Row' or importing the tasks from the clipboard using an excel spreadsheet with columns titled to match the ITP requirements.

7. Once you have added all the ITP tasks, click Submit to issue the document.

Add Row

...

1.Click Add Row to access the ITP Task bar.

2. Fill in Task Details for Item No., Task, Frequency, Applicable Standard, Method, Acceptance Criteria, Action and Responsibility.

3. To add another Task to the ITP, Click Add Row.  Continue to add rows until the ITP Task list is complete.

N.B: Task fields may be adjusted to support your workflow.

Import from Clipboard

 

1.Prepare your excel spreadsheet using the titles shown in the ITP Task bar as the titles for your columns.

2. Copy the data including headings to the clipboard by highlighting and clicking copy on the excel task bar.

NB: The number of columns in the spreadsheet must match the number of columns in the ITP task bar.

3.Go to your ITP and click Import from clipboard

4. The data copied to the clipboard will be added to your ITP.

 NB:  the import process will not be complete until you submit your document.

Click Create Work Lot on the bottom of the form.

4. A new LOT form will be created with a link to the ITP.  All ITP tasks will be carried over to the new LOT form.

You cannot add new tasks to the LOT. Tasks must be added to the ITP.

5. Address the LOT to the relevant user i.e the person responsible for managing the LOT.

6. Fill out LOT specific information using the customised user fields.

Note

The Percent Complete user field will automatically populate as tasks on the LOT are ticked off.

7. Once all field information has been added, click Submit to issue the LOT.

Warning

Once the LOT information has been completed it must be submitted PRIOR to relating any forms inline against ITP tasks.  This ensures that the LOT information is carried over to the related forms eg to the Action Point.
