Create a Button for a Document List User Field

Configuration of Button style 

Button style will allow you to select one form to link. The benefit of  this is that you can have multiple Document List user fields, each restricted to one form type - making your process fool-proof.

With Button style, documents are presented as clickable buttons, providing quick access to essential information.

  1. Go to Configure > Form Types > Choose your form.

  2. Click on the General Tab > Splitting > Custom Split.

  3. Add New Button. Refer here for more information on how to add new button.

  1. Once the custom split is set up go to the Form Designer tab for your form. 

  2. Add a Document List user field by dragging from left menu and dropping it onto your form.

  1. Ensure you are still clicked on the Document List user field. On the right-hand side choose Edit Details. This will take you to the configuration of the Document List user field. Ensure that under General tab, toggle off 'Apply to all Form Types' and under 'Restrict to the following document Types' add the Form that you want to be created upon clicking the button. Refer here for more information.

  1. Remain clicked in the Document List user field and on the right-hand side in Properties there is a section called Form Style, select Button.

  1. Choose what you want to display on your button.

  • Reference (this is the reference number of your form)

  • Title (this is the title on your form)

  • Status (this will show the current status of your form i.e. as the form progresses through its statuses e.g. OPEN >CLOSED these will reflect here)

  1. Choose what will happen when the button is clicked.

  2. Select from the drop down Show Full Form or Show Only Form

  • Show Full Form will pop up the full form that is linked (default view).

  • Show Only Form will only show the ‘Form’ section of the form and leave out details, collaborators, comments, etc. shown below.

As a User 

Clicking on the button the form configured for that button will appear. The user creates the form. Once submitted the created form is then linked to that button.

Below is an example of an RFI form being created and linked to an ITP form, where only the title of RFI is configured to show.

Clicking on the document list user field button when a form is linked will:

  • give the user access to the Respond and any Action Buttons that are configured on the form.

  • if the form is in preview mode when the button is clicked, it will load the linked form in preview mode.

  • if the user responds to the form and then clicks the button, it will load the linked form in edit mode.
